Guest management for the opening concert
A huge success for Guest-One: The Wuppertal-based experts are taking over the organisation of guests and participant management for the opening events of the Elbphilharmonie Hamburg. For the two opening concerts on 11 and 12 January 2017 HamburgMusik gGmbH as the operator company of the Elbphilharmonie and its director Christoph Lieben-Seutter are expecting around 4,500 guests.

The guestlist is long; tickets for the concerts were like golddust. The local invited guests will be joined by numerous personalities from all over the world as they witness the opening. For Guest-One this represents a welcome opportunity to put its own effectiveness to the test, and at the same time poses a real challenge. "We are delighted to be able to make our contribution to the opening concerts of the Elbphilharmonie", says Oliver Maître, Managing Director of Guest-One, with enthusiasm for the events at the beginning of 2017. The Wuppertal-based company's many years of experience in the area of participant management and guest organisation, not least, enabled Guest-One to succeed as service provider.

The processing and management of the invitations to a number of top-class guests from the worlds of politics, business and society, as well as numerous representatives of the international press is a challenge in itself. On top of that, as a full-service provider Guest-One is responsible for numerous other services. In the area of ticketing for example, the specialists are developing high-quality personalised admission tickets in various language versions, which are individualised with date imprints. "Print, packaging and delivery of the invitation cards is another thing we're taking care of", reports Maître.

The elaborate registration procedure is likewise one of Guest-One's responsibilities. The basic prerequisite for this is the digital import of a huge variety of guest allocation criteria in order to make processes systematic and to be able to realise the tasks linking up to these. "The plan is for a comprehensive online registration option, which we are orienting towards the considerable demands of this prestigious event", says Maître. Following their registration, guests receive a confirmation along with an e-ticket. "It is all entirely automated and, thanks to our proven and well-practised processes, it is also secure", adds the managing director.

A particularly important factor here is seat allocation at the concerts. Not least due to the high number of top-class guests and the extraordinary layout of the room, the process needs to be implemented meticulously and perfectly tailored to the client. This takes place in close cooperation with the operating company. This project is already underway and Oliver Maître will be supervising it along with his team up until the beginning of the event. But the managing director remains relaxed about it all: "For me as a native of Hamburg in particular, this is an outstanding project to which we can bring all our experience.
