G20 GERMANY 2017

On behalf of the Federal Foreign Office in Berlin, Guest-One took care of participant management and placement for the G20 concert in Hamburg's Elbphilharmonie concert hall. The concert formed part of the summit attended by heads of state and government. Following the ceremonial opening at the start of the year, the Wuppertal-based experts for participant management and guest organisation were thus responsible for a particularly extraordinary event in the world's most modern concert hall for the second time in a year.
To enable the politicians, their delegations and other guests to enjoy the Hamburg Philharmonic State Orchestra's performance of Beethoven's Ninth Symphony, conducted by Kent Nagano, Guest-One faced multiple challenges in the run-up to the event. The experts from Wuppertal set up a complex system for registering the 2,000 or so guests in order to ensure that everything ran smoothly. The extremely sensitive data of the state heads and their entourage was imported into the online tool in advance. In order to comply with protocol specifications, the specialists in guest organisation also reproduced the seating plan of the Grand Hall to make it easier to seat guests in the correct place.



The brief for the G20 concert was characterised by the highest safety and security requirements. For this reason, the specially protected web system featured high-performance encryption and complied with the restrictive standards of the Federal Foreign Office and German data protection guidelines. The safety and security requirements on 7 July 2017, the day of the G20 concert, were no less demanding. Thorough checks, similar to those at an airport, were carried out at the Hamburg Cruise Center in HafenCity. It was there that the first part of a two-stage entry was held. Guest-One had set up ten stations for this specific purpose for the accreditation of the 1,500 or so regular guests. Equipped with tickets, the visitors then travelled to the Elbphilharmonie concert hall by ship, where the actual entry took place. The VIPs and delegations were conducted directly into the security zone in their vehicles, where accreditation was once again completed by Guest-One immediately in front of the Elbphilharmonie.



The high safety and security requirements combined with the large number of participants and the fulfilment of protocol specifications made this challenging project a very special one for Guest-One too.
